Wrong ERP Questions.

Very often I hear people ask the question on the strength and weakness of an ERP system. (a YES & NO Checkbox - and we are better!) This is the wrong or improper question in my opinion. One should not be looking for the strengths and weaknesses in the software. Instead, you should analyse how well the software fits your business needs.

Your company cannot exploit the software strengths if they are not in an area you need to use. As an example, there are strong project functionalities in Sage 300 but that probably will not help you if you are a company that manufactures & distributes tea or shampoo. 
A weakness in ERP might be its use of inventory attributes, which may not affect you, if you manufacture bicycle. So what value does such an exercise provide? Most probably none! 

There are few proven paths to finding a software fit. There is one "known" way to find software that fits your business and that is to have the sales team demonstrate your processes in their software. And, I would not suggest using all of your processes, just the most important of those.  So, how do you learn your important processes?

During my engineering work days, I remember we have had Intelligence Building & Factory Automations, even Smart home. We have the Chillers, Condensers, AHU units and lifts and lighting all linked up to a computer centralized system. Monitoring and Sensing chilled water, condenser water and air temperature and volumes for the building to optimize energy usage and comfort and conveniences. What is the Difference between Sage 300 Lot and Serial Numbers?

Sage 300 Serialized Inventory & Lot Tracking has been used frequently to track products throughout the receiving and sales process. However, there is an important distinction between lot tracking and serialization.

The Lot (or batch number) is a number assigned to a group of products for which are common with specific properties. There is a one-to-many relationship as many products can have the same lot ID. Batch numbers typically provide additional functionality for tracking manufactured date, expiry dates and other more detailed information. Typically used in the food manufacturing or distribution business.

For Example, a food company could make 1,000 cans of sardines in an 8-hour shift.  Each can’ would be labels with the same lot id used to track the manufacturing date or expiry date. While Pharmaceutical companies have analogous tracking requirements for their drugs as required by our government - the ability to keep track of stock by lot throughout the supply chain processes and the expiry and recall dates is a mandated requirement.

Sage 300 -  Lot Tracking traces lots back to your vendors and delivery of products to your clients to help comply with regulatory requirements and to provide better service.

Sage 300 serialized Inventory allows properties that can be different for stock items of the same product. Unlike lot ids, there is a one-to-one relationship as a unique number is assigned to a single product. No other product can exist with the same serial number. Typically used in the machines manufacturer or distributer.

It helps in keeping track of warranty period and service history. If a medical device company is making
Electrocardiograph, each ECG machine model is packaged with its own kits and accessories, and each of its components that make up the KIT has it owned serial numbers. You may group each items with its own serial number together as a set for sale or individually.

When creating sales order for a product, you typically may commit the specific serial number of the product based on your available stock’s serial numbers at hand or in some operation you may make a sales order for the ECG machine, but you wouldn't specify the serial numbers at the time of making a sales order; you would specify them when you make the shipment.


Sage 300 - Serialized Inventory tracks serial numbers from Purchase Orders to Inventory Control to Order Entry and historical inquiry; assigns system-generated serial numbers to items not serialized at the time of receipt.

Lean Manufacturing and ERP.


So what does Lean Manufacturing mean to you? Is it just the buzz word? Is it just JIT re-stated? Is it applicable to smaller firms than say, Toyota? It will be interesting to hear your thoughts on Lean, as we do receive inquiry from manufacturers in our region listing lean as a requirement.
Although most of the time they do not really know what is lean all about and looking for a piece of software to help them solve problems. This has also been fuel by many software vendors, playing one up-man-ship by claiming that their ERP/MRP is Lean manufacturing systems.

From my understanding (and I'm no manufacturing guru, so take it with a grain of salt)

Lean is a strategy and generally is not an ERP product function or module. However, I personally believe that ERP products are either Lean "sympathetic" or not. It means also optimizing your process and the system that supports it. Off course the purist would insist on mimicking the kanban card systems. For me it comes down to keeping inventory as low as possible and reducing waste at every step. That is what Sage 300 Manufacturing helps you to achieve.

So can Lean/MRP co-exist? Some purist will say no, akin to water and oil. But certainly, in many companies lean and ERP do coexist, if only out of necessity.

 So what does it leave me with Sage 300 Manufacturing? (Which I am a partner) Yes, they do they support Lean? We (together with clients) start by reviewing a few key business processes, identifying obvious waste in a well-defined area, to see how to remove waste. Success in an early stage will motivate the company to continue its lean efforts.

Sage 300 Manufacturing market is in the small to mid-size enterprises, so our experiences are strictly toward these.  Streamlining process sometimes involve software, sometime it is not. Lean thinking should be applied not only on manufacturing processes but to all area in the business by streamlining several areas that needed attention.

So you have a failed ERP implementation!

So you have a failed ERP implementation and are on the market for replacement.

Here's some advice about the process, not related to any product:
  1. Go back and figure out why you selected XYZ ERP to begin with.
  2. Was it because it was a famous brand name?
  3. Was because they give it to you at a rock bottom price? 
  4. Was it because the salesman promised that his ERP can do anything and everything?
  5. Because it was decided at HQ high level and forced upon you?
Anything that didn't consider whether it solved your business problems is going to cause this situation.

So what’s the best way to find the ERP solution that’s going to be the best fit for your organization?

What You Need vs. What You Want

  1. Then go back to your list of business needs and the problems you want solved and figure out what went wrong in the solution you picked so you don't do that again.
